DN AGRAR is Romania’s largest integrated zootechnical farm, specializing in cow milk production and crop farming. Founded in 2008, DN AGRAR operates in central Transylvania, managing over 10,000 hectares of land and approximately 18,000 cattle.

The position of SECRETARY is available for DN AGRAR’s headquarters in Alba-Iulia, Alba County.

Job Requirements:

  1. Minimum 2 years of relevant experience in a similar role.
  2. University degree in Economic Sciences or Communication.
  3. Proficient in PC operation (MS Office Suite, internet, etc.) with high speed and accuracy.
  4. A polite, organized individual with the ability to manage time and priorities efficiently.
  5. A positive, balanced, responsible, and upright person; serious and detail oriented.
  6. Excellent communication and teamwork skills, with a desire for professional training and development.
  7. Fluent in English.
  8. Driving License: B-category driving license is considered an advantage.

Duties

1. Workflow Management

  • Overseeing email flow, phone calls, and official documentation in relation to business partners, suppliers, and regulatory authorities.
  • Organizing and maintaining the company’s database (invoices, delivery notes, etc.).
  • Scheduling activities and organizing meetings with feed suppliers or clients. 2. Livestock Administration and Support
  • Collaborating with the technical team to update animal movement registers (births, acquisitions, sales) in accordance with ANSVSA (National Sanitary Veterinary and Food Safety Authority) regulations.
  • Maintaining up-to-date records for sanitary certificates and livestock treatment logs, as required.

 

2. Livestock Administration and Support

  • Collaborating with the technical team to update animal movement registers (births, acquisitions, sales) in accordance with ANSVSA (National Sanitary Veterinary and Food Safety Authority) regulations.
  • Maintaining up-to-date records for sanitary certificates and livestock treatment logs, as required.

 

3. Logistics and Human Resources Management

  • Managing stocks of office supplies and consumables, and coordinating emergency orders for essential farm materials.
  • Overseeing employee attendance and time-tracking records.
  • Preparing primary accounting documents (incoming/outgoing invoices, receipts) for submission to the accounting department.

Responsibilities

  1. Correspondence Management: Sort and log incoming mail into the registry (tracking number, date, company name, contact details, message content, and other relevant observations).
  2. Manages and direct incoming phone calls to the appropriate departments or personnel.
  3. Front Desk & Visitor Relations: Greet external guests (clients, business partners, etc.), notify the relevant staff of their arrival, and escort visitors to meetings while ensuring the necessary business protocol is maintained.
  4. Travel Coordination: Liaise with travel agencies and service providers to arrange transportation and accommodation for employees and business partners, ensuring all arrangements meet corporate standards.
  5. Mail & Logistics: Prepare shipping manifests (Prioripost), handle registered mail and courier services, label envelopes, pack parcels, and maintain a log of all outgoing shipments.
  6. Document Processing: Draft, edit, and format various business materials and documents.
  7. Communication Handling: Manage the receipt and distribution of emails and internal memos.
  8. Reporting: Prepare various reports and data summaries for the management team and assist the company’s Managers in various activities/meetings/events.

Requirements / Required Education

  • Over 2 years of experience in Administration, Logistics, and Office/Back-office Support
  • University Graduate
  • Excellent communication skills, both written and verbal
  • Advanced proficiency in Microsoft Excel.
  • Strong organizational skills with high attention to detail
  • Punctual, reliable, and proactive in handling tasks
  • Local residency is a plus/advantage
